Confidentiality & Data Handling Policy

Purpose

Vehicle Valuation Authority (“VVA”) is committed to maintaining the confidentiality and reasonable security of client information obtained in connection with appraisal services. This policy describes how information is collected, used, stored, and protected in the normal course of business.

Information Collected

VVA may collect client contact information, vehicle identification details (such as VIN, mileage, and configuration), photographs and videos, supporting documentation related to condition, maintenance, or repair history, appraisal reports, and related correspondence. Only the information necessary to perform appraisal services is collected.

Use of Information

Client information is used solely for performing appraisal services, communicating with the client and identified intended users, preparing and delivering appraisal reports, and maintaining records consistent with professional practice. Information is not sold, licensed, or shared for marketing purposes.

Confidentiality

Client information and appraisal materials are treated as confidential and are not disclosed to third parties except to the client, to expressly identified intended users, or when required by law, court order, or legal process. Any disclosure is limited to information reasonably necessary for the stated purpose.

Data Storage & Retention

Appraisal records and supporting materials are stored using reasonable administrative, technical, and physical safeguards. Records may be stored electronically, including through secure cloud-based or third-party platforms, or in physical form when applicable. Records are retained for a period consistent with professional practice and business needs. VVA does not guarantee indefinite data retention.

Electronic Communication

Electronic communication and file transfer are used in the normal course of business. While reasonable precautions are taken, electronic transmission carries inherent risks. Clients acknowledge and accept these risks when submitting information electronically.

Client Responsibilities

Clients are responsible for providing accurate information, safeguarding copies of appraisal reports and documents once delivered, and controlling any further distribution of appraisal materials.

Limitations

This policy does not create a fiduciary relationship or guarantee absolute data security. VVA’s obligation is to apply reasonable care consistent with professional service standards.
